How to see how much data is in ServiceNow
- Sign in to your instance as an admin
- Open Instance Usage → Application Usage Overview
- Under Additional Metrics, note the Primary DB size (MB)
- For record counts, open the key tables (e.g. incident, task) as a list and note the total record count
Record the primary database size; for an official figure, request the Instance Database Footprint report on the Now Support portal.

How to get a copy of your ServiceNow data
- Open the list of records you want (e.g., Incidents)
- Right-click any column header (or use the list title menu in List v3)
- Choose Export and a format: Excel, CSV, JSON or PDF
- Select Download when the export finishes
- Repeat for each table you need
Open a list of records, right-click any column header, and choose Export → Excel, CSV, JSON or PDF, then Download. In List v3, Export is in the list title menu.
Exports cover one table's displayed columns at a time and are capped by default size limits, so big tables may need to be split. XML exports require the admin role.
These instructions are written by DataFrenzy from each vendor’s public help pages. Menu names can vary by plan and change over time; the official link on each guide is the final word. Screenshots come from each vendor’s own help pages and videos or, where noted, from third-party tutorials credited under the image; dashed outlines are illustrations, not screenshots. Looking up a size or preparing an export never sends anything to DataFrenzy.
