How to see how much data is in Paychex

  1. Sign in to Paychex Flex as an admin
  2. Open the People List (icon in the upper right) and view all statuses: Active, On Hold/On Leave, Transferred and Terminated
  3. Note the number of people in each status
  4. Note how many years of payroll history the account holds

Record total people across all statuses plus years of payroll; Paychex shows no storage figure.

How to get a copy of your Paychex data

  1. Sign in as an admin
  2. Open the reporting area (Report Center)
  3. Pick a standard report or create a custom report
  4. Set filters and run it
  5. Choose a download format such as Excel or CSV

Admins can run standard or custom reports from the Report Center and download them. Paychex's reporting help lists Excel, CSV, XML and PDF as download formats.

Menus differ between Paychex Flex and older Paychex systems, and payroll reports contain Social Security numbers and bank details that need review.

Paychex’s official export instructions

These instructions are written by DataFrenzy from each vendor’s public help pages. Menu names can vary by plan and change over time; the official link on each guide is the final word. Screenshots come from each vendor’s own help pages and videos or, where noted, from third-party tutorials credited under the image; dashed outlines are illustrations, not screenshots. Looking up a size or preparing an export never sends anything to DataFrenzy.
