How to see how much data is in Microsoft Project

  1. Find where your .mpp project files are saved (local folder, network share or SharePoint)
  2. Select the folder, right-click → Get Info (Mac) or Properties (Windows)
  3. Note the total size and number of project files
  4. If you used Project Online or Project for the web, ask your Microsoft 365 admin how many projects exist there

Record the number of project files and their total size; each .mpp file is usually small, so the file count is the more useful figure.

How to get a copy of your Microsoft Project data

  1. Open the project in Project desktop
  2. Go to File → Export → Save Project as File
  3. Double-click Microsoft Excel Workbook and choose a name and location
  4. Follow the Export Wizard (Selected Data, New map, choose task/resource fields)
  5. Click Finish and open the workbook in Excel

In Project desktop, use File → Export → Save Project as File → Microsoft Excel Workbook and follow the Export Wizard. You get an Excel workbook for each project file.

Microsoft retired Project Online on September 30, 2026. Project Online data may only exist where it was saved before that date, so check with your IT admin.

Microsoft Project’s official export instructions

These instructions are written by DataFrenzy from each vendor’s public help pages. Menu names can vary by plan and change over time; the official link on each guide is the final word. Screenshots come from each vendor’s own help pages and videos or, where noted, from third-party tutorials credited under the image; dashed outlines are illustrations, not screenshots. Looking up a size or preparing an export never sends anything to DataFrenzy.
