How to see how much data is in Microsoft Dynamics 365

  1. Sign in to the Power Platform admin center as an admin
  2. Select Licensing in the navigation pane
  3. Under Products, select Dataverse
  4. Note Database, File and Log storage used, and open your production environment for its own figures

Record Dataverse database, file and log storage used (in GB) for each environment; trial and Teams environments are listed separately.

How to get a copy of your Microsoft Dynamics 365 data

  1. In the left navigation, select the table to export
  2. Choose the view or filter you want
  3. Select Export to Excel on the command bar
  4. Save the downloaded .xlsx file
  5. Repeat for each table you need

Users with access can open a table's view and select Export to Excel on the command bar. You get an Excel (.xlsx) file of that view.

This exports one table view at a time and can time out on large views. Microsoft advises splitting big exports into smaller filtered batches or using fewer columns.

Microsoft Dynamics 365’s official export instructions

These instructions are written by DataFrenzy from each vendor’s public help pages. Menu names can vary by plan and change over time; the official link on each guide is the final word. Screenshots come from each vendor’s own help pages and videos or, where noted, from third-party tutorials credited under the image; dashed outlines are illustrations, not screenshots. Looking up a size or preparing an export never sends anything to DataFrenzy.
