How to see how much data is in HubSpot

  1. Sign in to HubSpot as a Super Admin and click the settings icon in the top navigation bar
  2. In the left sidebar menu, under Data management, click Backup & Restore
  3. Click Create manual backup, then click Create backup to confirm
  4. When you are notified that the backup is complete, click Download in the backup's row within 14 days and note the .zip file size

Record the .zip size; it holds one CSV per object (contacts, companies, deals, tickets, etc.) but excludes associations and activity data, and a large backup can take up to a day.

How to get a copy of your HubSpot data

  1. Go to CRM → Contacts (repeat later for Companies and Deals)
  2. Open the All contacts view tab
  3. Click Export at the top right of the table
  4. Choose a File format and click Export
  5. Open HubSpot's email and download the file (link lasts 30 days)

Export records, activities, and files from each object's export option, or request a full portal export from HubSpot.

Email content and call recordings may require separate exports.

HubSpot’s official export instructions

These instructions are written by DataFrenzy from each vendor’s public help pages. Menu names can vary by plan and change over time; the official link on each guide is the final word. Screenshots come from each vendor’s own help pages and videos or, where noted, from third-party tutorials credited under the image; dashed outlines are illustrations, not screenshots. Looking up a size or preparing an export never sends anything to DataFrenzy.
