HR & payroll

How to see how much data is in Gusto

  1. Sign in to Gusto as an admin
  2. Go to Reports and open the Team member summary report
  3. Select all employees and contractors and run it
  4. Note the number of people listed and the earliest payroll date in your history

Record the number of employees and contractors plus years of payroll; Gusto shows no storage figure.

Gusto’s official instructions

How to get a copy of your Gusto data

  1. Sign in as an admin with reporting permission
  2. Open Reports
  3. Choose the Payroll data export, a standard report, or New Custom Report
  4. Pick the date range and fields
  5. Download as CSV, PDF or Excel

Admins with reporting permission can download payroll, HR, time and tax data from Reports, including the full-year Payroll data export (Excel) and custom reports (Reports → New Custom Report). Files come as CSV, PDF or Excel.

If Reports is missing from your menu, the primary admin has to grant you reporting permission. Paystubs download one person or one pay period at a time.

Gusto’s official export instructions

These instructions are written by DataFrenzy from each vendor’s public help pages. Menu names can vary by plan and change over time; the official link on each guide is the final word. Screenshots come from each vendor’s own help pages and videos or, where noted, from third-party tutorials credited under the image; dashed outlines are illustrations, not screenshots. Looking up a size or preparing an export never sends anything to DataFrenzy.
