Greenhouse: see how much data you have, then export it.

Pick a system to see two things: how to check how much data is in it, and how to export a copy. No form, no sign-in.

How to see how much data is in Greenhouse

  1. Sign in to Greenhouse Recruiting
  2. Open the All Candidates page
  3. Add filters to include rejected applications and closed jobs, not just active ones
  4. Note the number of candidate applications shown and the oldest application date

Record total candidate applications; the page counts one row per application, so people who applied twice count twice, and it shows no storage figure.

How to get a copy of your Greenhouse data

  1. Sign in with reporting access
  2. Go to Reports and click Create → Build a report, or open a template and click Customize
  3. Set filters and columns, then click Run Report
  4. Click the export button
  5. Save the .xlsx file

Users with reporting access can go to Reports, build or customize a report, click Run Report, and use the export button to download an Excel (.xlsx) file.

Grouping is lost in Excel exports, and some custom candidate fields only appear in particular reports. Candidate records contain personal data.

Greenhouse’s official export instructions

These instructions are written by DataFrenzy from each vendor’s public help pages. Menu names can vary by plan and change over time; the official link on each guide is the final word. Screenshots come from each vendor’s own help pages and videos or, where noted, from third-party tutorials credited under the image; dashed outlines are illustrations, not screenshots. Looking up a size or preparing an export never sends anything to DataFrenzy.
